Northern Future Travel – Terms and Conditions
These Terms and Conditions apply to all travel services, guided activities, and tour products organized and provided by Northern Future Travel, based in Rovaniemi, Finland. By confirming a reservation with us, clients acknowledge and agree to the following terms.
- Scope of Services
- Northern Future Travel specializes in high-quality day tours, extended excursions, and customized VIP experiences in Rovaniemi and its surrounding regions, particularly during the Lapland winter season.
- Each service is described in detail in its respective product listing, including inclusions, exclusions, duration, and pricing.
- Pricing and Taxation
- All service prices are stated in euros (EUR) and include Finnish VAT in accordance with current taxation legislation.
- Northern Future Travel reserves the right to adjust prices in the event of significant external cost increases (e.g., fuel, taxation, third-party service rates). Any price change will not affect confirmed bookings.
- Our official rates and best price guarantee apply only to bookings made directly via our website: www.northernfuturetravel.com. Prices on third-party platforms may differ.
- Booking and Confirmation
- All bookings are considered final once full payment has been received. Upon successful payment, clients will receive a written confirmation by email.
- Reservations can be made online, via email, or in person. Last-minute bookings are subject to availability.
- Changes to Bookings
- Requests to modify confirmed bookings must be submitted in writing to info@northernfuturetravel.com. The request must be received:
- At least 48 hours before the start time of day tours
- At least 7 days before the start time of multi-days tour
- For aurora tours, modifications must be requested before 1:00 PM (GMT+2) on the day of the scheduled tour.
- Northern Future Travel reserves the right to approve or decline any amendment based on availability and operational feasibility.
- Cancellations and Refunds
- All cancellation requests must be submitted in writing to info@northernfuturetravel.com. Refunds are issued according to the cancellation policy while booking:
- Cancellation fees are calculated based on a list of penalty rules. Flexible, but complicated
- Cancellation fee of 100% is charged if cancelled 3 days or less before the event.Â
- If a service involves a third-party provider with stricter cancellation terms, those terms will take precedence.
- Northern Future Travel reserves the right to cancel or reschedule any service due to weather conditions, safety concerns, or other operational reasons. In such cases, clients will be offered an alternative or a full refund.
- All cancellation requests must be submitted in writing to info@northernfuturetravel.com. Refunds are issued according to the cancellation policy while booking:
- Child and Infant Policy
- Child & infant must be accompanied by adults when join in the arranged tours.
- Northern Future Travel reserves the right to deny participation of infants at any time, including on the day of the tour, in which case a full refund for both the infant and the accompanying adult may be issued.
- Service Languages
- All tours are guided mainly in English by default. Services in other languages may be arranged upon request and are subject to guide availability and may charge.
- Client Responsibilities and Safety
- Guests are required to:
- Follow all safety instructions provided by the guide.
- Wear appropriate winter clothing for arctic conditions.
- Inform us in advance of any medical conditions, allergies, or limitations that may affect participation.
- Participation in outdoor or adventure activities is always at the client’s own risk. We maintain strict safety protocols, but nature-based activities inherently involve risks.
- Travel Insurance
- All clients are strongly advised to have personal travel insurance that covers medical treatment, cancellation, winter sports, liability, and any unforeseen circumstances.
- Third-Party Services
- Northern Future Travel may feature or resell services offered by third-party providers. In such cases, the terms and conditions of the third-party provider also apply.
- We are not liable for the quality, safety, or delivery of services that are not directly operated by Northern Future Travel.
- Media Consent
- By participating in our tours, clients consent to the use of photographs or videos taken during the activities for marketing and promotional purposes by Northern Future Travel.
- Participants who do not wish to appear in such content must inform us in writing prior to the start of the tour. We do not share such content with third parties outside of our marketing use.
- Force Majeure
- Northern Future Travel is not liable for delays, changes, or cancellations caused by circumstances beyond our control, such as extreme weather, natural disasters, strikes, pandemics, or government restrictions.
- Governing Law and Dispute Resolution
- These Terms and Conditions shall be governed by Finnish law. Any disputes shall be resolved in the District Court of Lapland (Lapin käräjäoikeus) located in Rovaniemi, Finland.
- Severability
- If any provision of these Terms and Conditions is deemed invalid or unenforceable, the remainder shall remain in full effect.
- Payment Service Provider
- The payment transfer service is provided and operated by Paytrail Plc (business ID 2122839-7) in cooperation with Finnish banks and credit institutions.
- Paytrail Plc will appear as the recipient of the payment on the account statement or credit card bill and will forward the payment to the merchant. Paytrail Plc is a licensed payment institution. In case of complaints, we kindly ask you to contact the product supplier first.
